Responsibilities:
- Deliver an exceptional workplace experience where every detail — from how the space looks to how it feels — supports productivity, creativity, and connection.
- Be the face of the office, greeting guests, supporting employees, and helping create a warm, inclusive atmosphere that reflects clients culture.
- Assist with daily office operations, ensuring the space is organized, stocked, and functioning smoothly.
- Support coordination of maintenance, cleaning, and service requests, partnering with vendors and internal teams to ensure quick, high-quality resolutions.
- Help manage our snacks and beverage offerings, ensuring supplies are fresh, available, and aligned with employee preferences.
- Assist with event and program logistics, supporting local cultural moments, team gatherings, and all-hands experiences that bring the community together.
- Coordinate onboarding activities for new hires, ensuring every new clients has a welcoming and seamless first-day experience.
- Maintain workplace tools and systems, keeping documentation, calendars, and resources up to date in the GWS Portal.
- Monitor office supplies and inventory, restocking and organizing as needed to keep the space running efficiently.
- Support health, safety, and sustainability practices by following established guidelines and helping promote an environmentally conscious workplace.
- Collaborate closely with Workplace Experience Leads and Senior Coordinators to learn, grow, and contribute to broader initiatives that make clients workplace exceptional.
- Communicate clearly and proactively, helping ensure clients stay informed about office updates, activities, and services.
- Engage with business partners, including CommunityX, Business Protection, IT/AV, etc.
Requirements
- You have 1–3 years of experience in facilities management, workplace experience, hospitality, administration, or a related field.
- You have an understanding of building systems (HVAC, electrical, plumbing)
- You’re organized, approachable, and proactive, with a passion for creating positive experiences for others.
- You have a service-minded attitude and enjoy helping people feel supported and comfortable.
- You’re detail-oriented, adaptable, and able to multitask in a dynamic environment.
- You’re a strong communicator, both in person and in writing, and you bring a friendly, professional presence to all interactions.
- You thrive in a team environment, supporting colleagues and collaborating across functions.
- You’re curious and eager to learn, open to using new tools and technology to improve the workplace.
- You are proficient in both Spanish and English.
