Job Title: Executive Assistant

Hours: 8:30am-5:00pm + OT as needed

Job Summary: We are seeking a highly skilled Executive Assistant to join our team, where managing complex calendars and handling sensitive information with discretion are paramount. Our team values proactive individuals who can anticipate needs and support executive productivity through exceptional organizational skills.
Responsibilities:
- Manage complex executive calendars for a commercial organization of 35+ team members, coordinating meetings across time zones, resolving conflicts, and continuously reprioritizing competing demands.
- Provide proactive, real-time executive support, including managing daily schedules, facilitating meeting transitions, dialing into calls, and ensuring alignment with key priorities and deadlines.
- Manage a high volume of Outlook emails, meeting requests, and communications, exercising sound judgment to prioritize, coordinate, and respond effectively.
- Coordinate domestic and international travel, prepare detailed itineraries, and manage expense reporting and reconciliation.
- Track key meetings, events, action items, and deadlines, providing regular updates, reminders, and weekly priority recaps.
- Draft, proofread, and manage executive correspondence and business documents.
- Serve as a trusted liaison with internal leaders, investors, portfolio companies, and external stakeholders, maintaining the highest level of professionalism and confidentiality.
Required Qualifications & Skills
- Financial services industry experience required.
- Bachelor's degree required.
- 8+ years of Executive Assistant experience supporting senior executives.
- Expert-level calendar management experience, including complex scheduling, shifting priorities, and multi-time-zone coordination.
- Experience managing domestic and international travel, itineraries, and expense reporting.
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
- Excellent written, verbal, and interpersonal communication skills.
- Proven ability to manage high volumes of email, meeting requests, and competing priorities in a fast-paced environment.
- Strong organizational, problem-solving, and relationship-management skills.
- Demonstrated ability to exercise sound judgment, maintain confidentiality, and proactively support executive and business needs.
